THE STARTING POINT.

Birgit Hofbauer runs a psychotherapy practice in Upper Austria, focused on personal development and supervision. Over the years her site had filled up with content and notices, all of them important but together hard to navigate. Reading on a phone was exhausting. The practice barely showed up in Google search. Booking an appointment took too many clicks.

A CALM, FAST PRACTICE SITE.

• → Full redesign, built from the ground up and exclusively for the practice. Calm colours, clear typography, plenty of white space. A site that matches the profession and reads as serious at first glance.
• → Own WordPress theme with Next.js 15 and React 19 behind it, no page builder. One code base for the public site and for CALIVO, the practice cloud in the backend.
• → One page, all topics sorted. About, areas of focus, background, offering, contact. Whoever scrolls finds everything. Whoever is in a hurry jumps straight to contact.
• → Mobile thought through first. On a phone the site reads just as comfortably as on a laptop. In a profession where more than half of inquiries come from phones, that's not optional.
• → Contact with privacy in mind: inquiries pass through seven layers (honeypot, time check, rate-limit, duplicates, CSRF nonce, sanitisation, AES-256-GCM encryption) straight to the practice, no third-party trackers. Emergency hotlines (crisis helplines for adults, women, men) are linked in the footer.
• → Self-maintainable. Birgit can update texts, focus areas and dates herself. No dependency on me after launch.

In the first months after launch, monthly visitor numbers tripled. Of those, 40 percent more come directly from Google, because Google now understands the site better. And of the people who do come, around four percent now send an inquiry instead of two before. For a practice with limited appointment slots, that makes a visible difference.

PRACTICE CLOUD IN THE BACKEND: CALIVO.

Behind the calm practice site, CALIVO runs as a full practice management suite. In the WordPress admin, Birgit doesn't see a standard editor but a tailor-made cockpit: encrypted patient records, weekly calendar with RRULE recurring appointments, invoices with fiskaly RKSV signature, accounting export to DATEV and BMD NTCS, dictation editor for session notes (Web Speech API, de-AT) and a hash chain audit log over every change.

• → Patient records AES-256-GCM encrypted: social security number, diagnoses, messages sit key-separated in the database.
• → Appointment workflow colour-coded: scheduled, attended, cancelled, no-show, billed. Status instead of button confusion. Up to three reminders per appointment via email.
• → Online appointment booking right on the practice site: clients request actual free slots via the contact form, an appointment is created only after confirmation in the inbox, no ghost bookings. Birgit sets working and blocked hours per weekday herself.
• → Invoices as a 3-step composer: services → details → review & send. Inline editing in the preview, atomic numbering, duplicate invoice numbers technically impossible.
• → Backup with SHA-256 + HMAC: snapshot, list, download, restore and delete via REST endpoints. On restore, SQL error check with rollback.
